Integration of E-way bill with VAHAN System: everything you need to know

Just as the e-way bill was mandated for the transportation of goods under GST, in the same way, the government has decided to integrate the e-way bill with Vahan System. Now the vehicle number has been entered in the e-way bill system and integrated with the Vahan System of the transport department. It would provide search over the digitized data of registered vehicles. Vahan System is considered to be highly flexible and it will take care of all the activities of vehicle registration.

The integration of e-way bill with Vahan System

The e-way bill and Vahan System would be integrated in the following manner:

  • The vehicle number which is entered in the e-way bill now would verify the Vahan System.
  • In case, if the vehicle number is not updated in the Vahan System, users would get alert messages as per the non-availability of the vehicle number.
  • Only those vehicle numbers would be allowed to generate the e-way bill, which is available in the Vahan database.
  • The users would have to update their details then only e-way bill generation would be done.

 Adding the vehicle number

As per the above-mentioned points, we have understood that the vehicle number in the Vahan system is important to generate. If any user wants to add the vehicle number, he needs to follow the below-mentioned steps:

  • With the purpose of, adding the vehicle number, the user has to visit the respective Regional Transport Office (RTO).
  • The users have to get the original Registration Certificate (RC) of their vehicle and other relevant documents which are required to be updated in the Vahan system.

  • Follow these steps in order to check the existence of the vehicle number:
  • Log in the website: https://vahan.nic.in/nrservices/faces/user/login.xhtml.
  • Now go for “Know your vehicle details”.
  • Enter the details such as vehicle number and verification code.
  • Click on the search vehicle.

Frequently asked questions about VAHAN System

Q.1 What is the verification of vehicle number in EWB Portal, please explain?

As we know that the EWB is now integrated with the Vahan System of the transport department. After this change, the vehicle number set in the e-way bill would be verified with the Vahan System. If the vehicle number is not found in the Vahan System then the user will get a message about the non-availability of vehicle number in the Vahan database. After some time, those vehicle numbers would not be allowed to generate the e-way bill from the EWB portal.

Q.2 Why alert message is popping up when I am entering vehicle number in the e-way bill system?

If the vehicle numbers entered in the EWB are not showing in the Vahan database then you have to check it with your concerned RTO office and update the details there. Otherwise, later those vehicle numbers would not be available for the generation of e-way bill.

Q.3 What does it mean when it states that your vehicle number is registered in more than one RTO?

If you receive a message that your vehicle is registered in more than one RTO then you have to approach your RTO. Additionally, you have to request making updates in the office. Once all the details are updated then you will not receive any this kind of message. If you don’t update, it would not allow you to generate the e-way bill in the future.

If you are finding difficulties to find your vehicle details on the Vahan System then you need to visit the RTO office with all your necessary documents along with original RC and get updated all the details in the Vahan database.

Q.5 Is a vehicle with temporary registration allowed for the generation e-way bill?

If your vehicle is available with a temporary registration number then details would not be verified. You need to enter the temporary number starting with TR.

Q.6 What is the reason for my vehicle details are showing in Vahan System website but not in the e-way bill portal?

In this scenario, you need to reach the help desk of the e-way bill portal and then submit your grievance. You have to specify the vehicle number which is set in the Vahan System but not available in the e-way bill portal.
